CapitolConnect (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy is written for you as a user of the app—so you can see what we do with your name, email, and the information tied to your account as you use CapitolConnect.

This Privacy Policy applies to our app, and its associated subdomains (collectively, our “Service”) alongside our application, CapitolConnect. By accessing or using our Service, you signify that you have read, understood, and agree to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy and our Terms of Service.

You and other users typically start using CapitolConnect by accepting the terms presented in the app (or during onboarding). Those terms, together with this Policy, describe how we handle personal information for everyone who uses the Service.

App Store and Google Play. Our disclosures in the Apple App Store and Google Play describe the personal data we collect from you as a mobile user: first name, last name, and email address, plus information tied to your account (such as content, schedules, and features you can use in the app). The Information we collect section restates that first. Other sections explain when other users (for example people coordinating a program you join) may give us your name and email, or upload materials, so you can get access—always limited to the Service features involved, as in Data others supply for your access below.

No marketing or newsletters. CapitolConnect does not use your personal information for advertising, promotional outreach, or profiling for commercial marketing. We do not operate newsletter mailing lists or send marketing emails. Email and account data are used only to run the Service—especially sign-in, access to content and features tied to your account, security notices, and essential operational messages about the app—not for unrelated sales or promotions.

Definitions and key terms

To help explain things as clearly as possible in this Privacy Policy, every time any of these terms are referenced, they are strictly defined as:

Cookie
Small amount of data generated by a website and saved by your web browser. We use cookies only for essential site or session functionality (for example staying signed in on the web), not for advertising or marketing campaigns.
Company
When this policy mentions “Company,” “we,” “us,” or “our,” it refers to CAPITOLCONNECT, LLC, (726 S 2ND St Springfield, IL, 62704-2516), that is responsible for your information under this Privacy Policy.
Client / administrator
A user (or small team of users) who configures CapitolConnect for others—for example guest lists, shared materials, maps, or dated programs—usually by accepting the Service in the app or through onboarding.
Event
Where this Policy refers to an “Event,” it means a structured experience in the Service (often with dates, materials, or access rules)—not everything you can do in the app. You may also use other CapitolConnect features outside or beyond a single dated program.
Country
Where CapitolConnect or the owners/founders of CapitolConnect are based, in this case the United States.
Customer
In some policy sections, a user in an admin or lead role on the Service who works with other users (for example attendees) through CapitolConnect.
Device
Any internet connected device such as a phone, tablet, computer or any other device that can be used to visit CapitolConnect and use the services.
IP address
Every device connected to the Internet is assigned a number known as an Internet protocol (IP) address. These numbers are usually assigned in geographic blocks. An IP address can often be used to identify the location from which a device is connecting to the Internet.
Personnel
Refers to those individuals who are employed by CapitolConnect or are under contract to perform a service on behalf of one of the parties.
Personal Data
Any information that directly, indirectly, or in connection with other information — including a personal identification number — allows for the identification or identifiability of a natural person.
Service
Refers to the service provided by CapitolConnect as described in the relative terms (if available) and on this platform.
Third-party service
Refers to vendors or contractors—such as hosting, email delivery, or security providers—that perform technical services for CapitolConnect to run the Service. We do not use such vendors to market to you or to sell personal information.
App / Application
CapitolConnect app, refers to the SOFTWARE PRODUCT identified above.
You
A person or entity that is registered with CapitolConnect to use the Services.

Data others supply for your access

Confidentiality and use restrictions

When other users supply information so you can use CapitolConnect—such as your name and email, logos, documents, or lists—we use it only to deliver the Service features that access depends on. Your data stays scoped to those features in the app—not repurposed broadly.

Data privacy

CapitolConnect does not sell, share, distribute, or otherwise use that information for purposes outside the relevant Service features (for example unrelated marketing), consistent with our No marketing or newsletters commitment above.

Materials and timing

Users who configure shared programs or guest access may need to provide materials such as:

  • Logo and branding assets;
  • PDFs or compatible documents (for example, agenda, talking points, or background material);
  • A list of subscriber names and corresponding email addresses in a spreadsheet or CSV format for app access (subject to any capacity limits communicated when access or a program is configured).

Deadlines (for example submitting materials before a scheduled day) may be communicated during onboarding or by CapitolConnect support. Late submissions can limit platform functionality or cause setup delays. CapitolConnect is not responsible for delays or errors resulting from late submissions; we will still work to implement reasonable changes when those users request them.

Information we collect

Mobile app users (aligned with store listings)

For users who access CapitolConnect through our mobile app, the core personal information we collect is what we report in the Apple App Store and Google Play: your first name, last name, and email address. We use this to create your account, authenticate access to the app, and send communications related to the Service when needed.

We also process data associated with your account—including schedules, maps, documents, tools, and similar materials made available through features you are allowed to use. That includes content you see during a structured program or when you explore other parts of the app. Information other users supply so you can access those features is covered by Data others supply for your access—not used for unrelated marketing or resale.

Limited technical data (such as device type, OS version, or crash diagnostics) may be processed automatically by infrastructure or platform providers to operate, secure, and troubleshoot the app. That technical processing is separate from the name and email categories identified in our store disclosures.

Other users and shared access (separate from your store signup)

When other users configure guest lists, documents, or programs you participate in, they may submit branding assets, files, and lists of names and email addresses so you and others can be granted access. Those submissions come from those users—not from Apple's or Google's individual account registration flow for you—and are used only to deliver those Service features.

  • First name, last name, and email address for your app account
  • Content and features visible through your account when you are authorized to use them
  • Materials and registration lists those users upload to enable that access

Website and support

If you contact us via our website or email, we collect what you send (typically name and email) so we can reply.

Third parties and sharing

For typical app users, we do not collect personal information from social media for marketing. We may receive limited technical or security-related signals from hosting or infrastructure providers (for example to help detect abusive sign-ups). Administrators and other users may provide attendee details as described above.

Do we share the information we collect with third parties?

Data other users supply for your access. Registrant names and email addresses, logos, and materials those users provide so you can use relevant Service features are handled only as described in Data others supply for your access above. We do not sell that data or use it for unrelated marketing, advertising audience targeting, or distribution outside the scope of those features.

Other information. For information that is not supplied in this way, we may share personal and non-personal information with affiliated companies only where needed to operate, secure, or support the Service—not for marketing or newsletter distribution. If we are involved in a merger, asset sale, or similar transaction, information may be transferred to successors-in-interest consistent with this Policy and applicable law, including the commitments in Data others supply for your access for personal data shared through those channels.

We may engage trusted third-party service providers to perform functions and provide services to us, such as hosting and maintaining our servers and the app, database storage and management, e-mail delivery, customer service, and related operational needs. We may share personal or non-personal information with these providers only as needed for them to perform these services for us and for you.

We may share limited technical or log data (which may include IP addresses) with infrastructure or security providers to protect the platform, prevent abuse, and keep the Service reliable. That processing is operational—not used to build marketing profiles, run ad campaigns, or sell registrant data supplied for shared access in this way.

We may also disclose personal and non-personal information about you to government or law enforcement officials or private parties as we, in our sole discretion, believe necessary or appropriate in order to respond to claims, legal process (including subpoenas), to protect our rights and interests or those of a third party, the safety of the public or any person, to prevent or stop any illegal, unethical, or legally actionable activity, or to otherwise comply with applicable court orders, laws, rules and regulations.

When we collect it

We collect personal information when you register or sign in through the app (first name, last name, email), when other users supply your details so you can access shared features, when you interact with content tied to your account, or when you contact us for support—as described in this Policy.

How do we use the information we collect?

We use the information described above for purposes that match our App Store and Play disclosures and this Policy, including:

  • To create, authenticate, and maintain your account
  • To deliver features and materials available to your account
  • To respond to support requests and send only Service-essential communications (not marketing or newsletters)
  • To operate, secure, and improve the app (including troubleshooting and abuse prevention)

How do we use your email address?

We use email addresses only for operating the Service: account creation and sign-in, password or access-related notices, security alerts, and other messages strictly necessary to deliver or maintain the app and your access to content and features. We do not send newsletters, promotional emails, or marketing campaigns.

Email addresses and other registrant data that other users submit so you can access shared features are used only to support those features in the app, as set out in Data others supply for your access—not for advertising, resale, audience targeting, or marketing.

How long do we keep your information?

We keep your information only so long as we need it to provide CapitolConnect to you and fulfill the purposes described in this policy. This is also the case for anyone that we share your information with and who carries out services on our behalf. When we no longer need to use your information and there is no need for us to keep it to comply with our legal or regulatory obligations, we'll either remove it from our systems or depersonalize it so that we can't identify you.

How do we protect your information?

We implement administrative, technical, and internal safeguards designed to protect personal information when you submit or access it through the Service, including encryption in transit where appropriate for account access. We cannot guarantee absolute security: no method of transmission or storage is completely secure. If applicable law imposes a non-waivable duty to protect your personal information, intentional misconduct will be the standard used to measure our compliance with that duty.

Where we host your data (United States)

Our databases, application services, and production servers that run CapitolConnect are hosted with infrastructure providers located in the United States. Personal information processed for the Service is stored and maintained in that U.S.-based environment.

We do not export personal data from the United States or relocate it outside the United States for storage or processing as part of operating the Service. We do not share personal data with hosting, database, or application vendors located outside the United States for those purposes.

Nothing in this section limits disclosures we must make under applicable United States law or lawful legal process.

Is the information collected through the CapitolConnect Service secure?

We take precautions to protect the security of your information. We have physical, electronic, and managerial procedures to help safeguard, prevent unauthorized access, maintain data security, and correctly use your information. However, neither people nor security systems are foolproof, including encryption systems. In addition, people can commit intentional crimes, make mistakes or fail to follow policies. Therefore, while we use reasonable efforts to protect your personal information, we cannot guarantee its absolute security. If applicable law imposes any non-disclaimable duty to protect your personal information, you agree that intentional misconduct will be the standards used to measure our compliance with that duty.

Can I update or correct my information?

The rights you have to request updates or corrections to the information CapitolConnect collects depend on your relationship with CapitolConnect. Personnel may update or correct their information as detailed in our internal company employment policies.

Customers have the right to request the restriction of certain uses and disclosures of personally identifiable information as follows. You can contact us in order to (1) update or correct your personally identifiable information, (2) change your preferences with respect to communications and other information you receive from us, or (3) delete the personally identifiable information maintained about you on our systems (subject to the following paragraph), by cancelling your account. Such updates, corrections, changes and deletions will have no effect on other information that we maintain, or information that we have provided to third parties in accordance with this Privacy Policy prior to such update, correction, change or deletion. To protect your privacy and security, we may take reasonable steps (such as requesting a unique password) to verify your identity before granting you profile access or making corrections. You are responsible for maintaining the secrecy of your unique password and account information at all times.

You should be aware that it is not technologically possible to remove each and every record of the information you have provided to us from our system. The need to back up our systems to protect information from inadvertent loss means that a copy of your information may exist in a non-erasable form that will be difficult or impossible for us to locate. Promptly after receiving your request, all personal information stored in databases we actively use, and other readily searchable media will be updated, corrected, changed or deleted, as appropriate, as soon as and to the extent reasonably and technically practicable.

If you participate in a shared program or guest list and wish to update, delete, or receive any information we have about you, you may also contact the users who invited you or manage your access, or reach us directly using the Contact us section.

Personnel

If you are a CapitolConnect worker or applicant, we collect information you voluntarily provide to us. We use the information collected for Human Resources purposes in order to administer benefits to workers and screen applicants.

You may contact us in order to (1) update or correct your information, (2) change your preferences with respect to communications and other information you receive from us, or (3) receive a record of the information we have relating to you. Such updates, corrections, changes and deletions will have no effect on other information that we maintain, or information that we have provided to third parties in accordance with this Privacy Policy prior to such update, correction, change or deletion.

Sale of business

We reserve the right to transfer information to a third party in the event of a sale, merger or other transfer of all or substantially all of the assets of CapitolConnect or any of its Corporate Affiliates (as defined herein), or that portion of CapitolConnect or any of its Corporate Affiliates to which the Service relates, or in the event that we discontinue our business or file a petition or have filed against us a petition in bankruptcy, reorganization or similar proceeding, provided that the third party agrees to adhere to the terms of this Privacy Policy.

Affiliates

We may disclose information (including personal information) about you to our Corporate Affiliates where necessary to operate or support the Service. Such disclosures are not made for marketing or newsletter purposes. For purposes of this Privacy Policy, “Corporate Affiliate” means any person or entity which directly or indirectly controls, is controlled by or is under common control with CapitolConnect, whether by ownership or otherwise. Data shared under Data others supply for your access remains subject to that section. Any information we provide to Corporate Affiliates must be handled consistently with this Privacy Policy.

Governing law

This Privacy Policy shall be governed by and construed in accordance with the laws of the State of Illinois, without regard to its conflict of law principles. Your use of the app may also be subject to other applicable local, state, national, or international laws.

Disputes arising under or in connection with this Privacy Policy may be subject to the exclusive jurisdiction of courts located in Illinois, unless applicable law requires otherwise.

By using CapitolConnect or contacting us directly, you signify your acceptance of this Privacy Policy. If you do not agree to this Privacy Policy, you should not engage with our app, or use our services. Continued use of the app, direct engagement with us, or following the posting of changes to this Privacy Policy that do not significantly affect the use or disclosure of your personal information will mean that you accept those changes.

Your consent

We've updated our Privacy Policy to provide you with complete transparency into what is being set when you visit our site and how it's being used. By using CapitolConnect or registering an account, you consent to this Privacy Policy and the Service terms you accept in the app.

Links to other websites

This Privacy Policy applies only to the Services. The Services may contain links to other websites not operated or controlled by CapitolConnect. We are not responsible for the content, accuracy or opinions expressed in such websites, and such websites are not investigated, monitored or checked for accuracy or completeness by us. Please remember that when you use a link to go from the Services to another website, our Privacy Policy is no longer in effect. Your browsing and interaction on any other website, including those that have a link on our platform, is subject to that website's own rules and policies. Such third parties may use their own cookies or other methods to collect information about you.

Cookies

CapitolConnect may use “Cookies” or similar technologies on web properties for essential functionality (for example session or login state). We do not use cookies to deliver advertising or marketing. A Cookie is a small piece of data stored on your computer or mobile device by your web browser. Without certain cookies or storage, you may need to sign in more often or some convenience features may not work. Most browsers let you restrict cookies; if you block essential cookies, parts of the Service may not function. We do not place personally identifiable information in cookies for marketing purposes.

Blocking and disabling cookies and similar technologies

Wherever you're located you may also set your browser to block cookies and similar technologies, but this action may block our essential cookies and prevent our app from functioning properly, and you may not be able to fully utilize all of its features and services. You should also be aware that you may also lose some saved information (e.g. saved login details, site preferences) if you block cookies on your browser. Different browsers make different controls available to you. Disabling a cookie or category of cookie does not delete the cookie from your browser, you will need to do this yourself from within your browser, you should visit your browser's help menu for more information.

Kids' privacy

We do not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If you are a parent or guardian and you are aware that your child has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from anyone under the age of 13 without verification of parental consent, we take steps to remove that information from our servers.

Changes to our Privacy Policy

We may change our Service and policies, and we may need to make changes to this Privacy Policy so that they accurately reflect our Service and policies. Unless otherwise required by law, we will notify you (for example, through our Service) before we make changes to this Privacy Policy and give you an opportunity to review them before they go into effect. Then, if you continue to use the Service, you will be bound by the updated Privacy Policy. If you do not want to agree to this or any updated Privacy Policy, you can delete your account.

Third-party services

We may display, include or make available third-party content (including data, information, applications and other products services) or provide links to third-party websites or services (“Third-Party Services”).

You acknowledge and agree that CapitolConnect shall not be responsible for any Third-Party Services, including their accuracy, completeness, timeliness, validity, copyright compliance, legality, decency, quality or any other aspect thereof. CapitolConnect does not assume and shall not have any liability or responsibility to you or any other person or entity for any Third-Party Services.

Third-Party Services and links thereto are provided solely as a convenience to you and you access and use them entirely at your own risk and subject to such third parties' terms and conditions.
